Facility Assistant (Full Time)

Position Overview

Join our dynamic team at RKB Facility Solutions as a Facility Assistant, where your reliability and attention to detail will play a crucial role. This position is instrumental in supporting maintenance activities and managing work orders to ensure our clients’ facilities run smoothly. Your duties will include assisting in maintenance tasks, coordinating work orders, and providing administrative support to the maintenance team.

Responsibilities

  • Assist in receiving and reviewing maintenance work orders from clients, ensuring information accuracy and completeness.
  • Under the direction of the Facility Coordinator or maintenance supervisor, prioritize and schedule maintenance tasks based on urgency, client requirements, and resource availability.
  • Coordinate with technicians, subcontractors, and vendors to assign tasks, provide instructions, and track progress.
  • Use facility management software to manage work orders, track labor and material costs, and generate maintenance activity reports.
  • Communicate with clients, tenants, and stakeholders to provide updates on work order status and schedule maintenance activities.
  • Provide administrative support including filing documents, updating spreadsheets, and managing communications via email and phone.
  • Coordinate with procurement to source and procure necessary maintenance supplies, equipment, and services.

Skills and Experience

  • High school diploma required; further education in facility management or a related field is preferred.
  • At least 1+ year of experience in facility maintenance, construction, or a related field.
  • Excellent organizational skills and meticulous attention to detail.
  • Strong communication and interpersonal skills for professional interactions.
  • Ability to work independently with minimal supervision and as part of a team.
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook.

  • This remote role includes typical office physical demands.
  • Some travel and after-hours work may be required.
  • Business casual attire is necessary for video calls.
