Coordinator, Operations

The Facility Coordinator will be responsible for overseeing all the action items in an on-demand service request. Reporting to the account supervisor, this role requires communication skills and a professional approach to dispatching service technicians to complete a multitude of scopes and tasks. This role will be responsible for ensuring that scheduling requests are adhered to, the job is completed within scope and cost, and any quotes are submitted in a timely manner. When materials are shipped this role is responsible for monitoring the tracking and arrival of materials to the technician or site location. This role is responsible for keeping communications updated in real-time and relaying information to clients and site managers to ensure high-level customer service.

Assistant Project Manager

The Assistant Project Manager reports directly to the Director of Construction. This position assists the team with dispatching, coordinating, and budgeting work orders and projects assigned. Responsible for ensuring all documentation concerned with assigned work is handled correctly including navigating systems and client portals. Assist the preventative maintenance team when needed. Maintain professional relationships with service providers and suppliers to ensure successful completion of project management. Travel to job sites when necessary. Experience in retail facility management with a focus on special projects is preferred, and estimating experience also highly preferred.

Business Development Manager

The Business Development Manager will be responsible for generating new business and maintaining client relationships. They will develop a network of contacts to attract new clients, research and develop new strategies, oversee organic growth of clients within the operations and construction departments, and handle escalations when requested. Researching organizations and individuals to drive new markets and improve sales. This person is also responsible for quarterly reporting for each of their clients, forecasting and projecting goals both annually and quarterly, attending tradeshows and networking events, and hosting client meetings. Travel is required with the position, hours can be flexible. Operational background preferred. Collaboration with the Director of Business Development will be key.

Finance Coordinator

The Finance Coordinator will be responsible for administering invoices for all work orders. They will directly report to the Director of Finance and be responsible for uploading vendor invoices into our proprietary system, communicating with vendors regarding paperwork and invoices, and following all procedures for client billing requirements based on the individual client. This person must have good communication skills to discuss payments and discrepancies with our vendor network as well as have high-level skills in Microsoft Office, specifically Excel and Word.
