Coordinator, Operations

The Facility Coordinator will be responsible for overseeing all the action items in an on-demand service request. Reporting to the account supervisor, this role requires communication skills and a professional approach to dispatching service technicians to complete a multitude of scopes and tasks. This role will be responsible for ensuring that scheduling requests are adhered to, the job is completed within scope and cost, and any quotes are submitted in a timely manner. When materials are shipped this role is responsible for monitoring the tracking and arrival of materials to the technician or site location. This role is responsible for keeping communications updated in real-time and relaying information to clients and site managers to ensure high-level customer service.

Account Supervisor

The Account Supervisor is responsible for overseeing coordinators and addressing escalations with clients and site managers. They are responsible for reviewing proposals prior to client submission and providing reporting and updates to the Operations Manager. This role requires great attention to detail as well as a vast knowledge of pricing regarding the scope of work for reactive service requests. Empowering coordinators by working hand in hand with them to ensure knowledge is shared, work orders are dispatched adhering to their individual SLA, and ensuring those requests are completed in a timely manner. This position requires dispatching on high level scopes. Responsibilities will also include monitoring profitability in addition to ensuring pricing is fair and negotiating with technicians to maintain this initiative. Client communication is required in this role, communications and customer service experience is ideal as well as industry experience.

Vendor Relations Coordinator

This is a critical role for RKB Facilities solutions. This position will be responsible for driving results and operational excellence by creating and developing relationships within the vendor database. This role will be responsible for assisting in procuring new vendors and negotiating with existing vendors while ensuring compliance with RKB’S policies and requirements. The successful candidate will interact with other internal team members through the organization, on vendor issues to ensure that expectations are always met, and the vendor obligations are fulfilled. You will coordinate vendor onboarding and vetting, communicating with our compliance personal to make sure that all paperwork is properly submitted, , and troubleshooting vendor concerns and/or internal concerns with the applicable vendor.

The successful candidate will be highly organized, demonstrate initiative, have strong attention to detail and a desire to learn and grow through hands on experience.

Finance Coordinator

The Finance Coordinator will be responsible for administering invoices for all work orders. They will directly report to the Director of Finance and be responsible for uploading vendor invoices into our proprietary system, communicating with vendors regarding paperwork and invoices, and following all procedures for client billing requirements based on the individual client. This person must have good communication skills to discuss payments and discrepancies with our vendor network as well as have high-level skills in Microsoft Office, specifically Excel and Word.
